Payment Terms, Adjustments, and Flexible Payment Options
This page explains how payments for moving services are structured, when payments are due, how final costs are adjusted, and in which cases alternative payment arrangements may apply.
Our goal is to provide clear standard terms, while remaining flexible and customer-oriented for larger or more complex moves.
1. Standard Payment Terms
For most moves, the total service cost is divided into two payments. This is the standard structure used for international and long-distance relocations.
First Payment – 50% Before Service Start
The first payment, equal to 50% of the total estimated amount, is payable before the start of service provision, unless agreed otherwise in writing.
This payment is required to:
- Confirm the booking
- Secure scheduling, crew, vehicles, and equipment
- Begin operational and transport planning
Second Payment – Remaining 50%
The second payment covers the remaining balance of the total service cost. It is payable after the final volume is determined and before delivery, unless agreed otherwise.
Because shipment details can only be finalized after packing and loading, the second payment may be adjusted as described below.
2. Adjustment of the Second Payment
The second payment may be adjusted based on the actual volume, weight, and/or number of loading units (LDM) measured after loading.
The preliminary estimate is based on the information available before the move, such as inventory lists, questionnaires, or surveys.
Adjustment Rules
- If the actual volume, weight, or number of loading units exceeds the preliminary estimate, the remaining amount will be increased accordingly.
- If the actual volume, weight, and loading units remain unchanged, the second payment will remain the same.
- If the actual volume and weight are lower than the preliminary estimate, the second payment will be reduced accordingly.
This adjustment system ensures that customers pay for the actual shipment and services provided, rather than only an initial estimate.
3. Practical Examples
If the estimated total cost of a move is €4,000:
- First payment: €2,000
- Second payment: €2,000
If the actual shipment is larger and the final cost becomes €4,400, the second payment increases to €2,400.
If the shipment matches the estimate exactly, the second payment remains €2,000.
If the final shipment is smaller and the total cost becomes €3,700, the second payment is reduced to €1,700.
4. Key Terms Explained
Total Amount
The full cost of the moving service, initially estimated and finalized after loading.
Service Provision
The start of moving services, such as packing, loading, or transportation.
Preliminary Estimate
The initial quotation based on declared inventory, survey results, or customer-provided information.
Final Volume
The actual measured size of the shipment after packing and loading.
Weight
The real shipment weight, where weight-based pricing applies.
LDM (Loading Meter)
A standard road-freight measurement representing how much linear space the shipment occupies inside the transport vehicle.
5. Exception for Local Moves
For short-distance moves within the same country (local moves), a different rule applies.
Because there is no later adjustment period or buffer for a second payment, 100% of the total service cost is payable before the start of service provision.
This means:
- No split payments
- No post-loading adjustment
- The full amount must be settled in advance
6. Standard Terms and Possible Exceptions
The payment terms described above represent our standard billing structure and apply to the majority of moves. These terms are designed to be transparent, predictable, and aligned with professional moving and logistics practices.
At the same time, we recognize that not all moves are the same, and in certain cases these standard terms may be adjusted.
7. Flexible Payment Arrangements for Large or Complex Moves
For large-scale or high-value relocations, such as:
- Full container shipments
- Intercontinental or overseas moves
- Moves with a total cost of €15,000–€20,000 or more
we may, by prior agreement, offer alternative payment schedules for the customer’s convenience.
Possible arrangements may include:
- Splitting the total amount into three or four payments
- Linking payments to agreed milestones of the move
- Adjusting payment timing to reflect long international transit periods
These arrangements are considered on a case-by-case basis and depend on the scope, destination, and operational requirements of the move.
8. Important Clarifications
- The payment terms described on this page are standard terms and apply unless an exception is explicitly agreed in writing.
- Any alternative payment arrangement must be confirmed in advance and documented in the quotation, agreement, or contract.
- Flexibility in payment structure does not affect the obligation to settle the full amount due.
